Chapter 1. REGISTRATION
Our online registration process is provided by ActiveNetwork.com.
ActiveNetwork.com uses a variety of security measures to maintain the safety of your personal information. Their Privacy Policy is on www.ActiveNetwork.com.
The registration system carries the padlock symbol which is used to denote secure sites. If you cannot see the padlock symbol, then it is hidden behind the frame in our overall website, within which the registration system operates. If you wish to see the padlock icon, then right click on the link to the registration/entry pages and select “open in new window”. You will then see the padlock on the page after you enter your email address.
If you are a member of an athletics club that it is affiliated to UK Athletics, and you have your own individual English Athletics Competition Licence Number, then you can register as an affiliated Club Runner.
If not, then you must register as an Other Runner (Non-Club Runner).
If you register as a Club Runner, you must provide the name of your club, and your own individual English Athletics Competition Licence Number, NOT the number for your club, and NOT any local membership number your club may have given you. Contact your running club secretary if you do not know what this is.
As well as registering yourself, you can register one or more extra people, as long as you are either all Club Runners or all Non-Club Runners. If your group includes Club Runners and Non-Club Runners, then you will need to complete two registrations, one for Club Runners and the other for Non-Club Runners.
NOTE. Before starting the registration of a group of runners, please make sure you have all details to hand for each extra person, including their e-mail addresses and dates of birth.
To register an extra person, you click the “Add another person” button, after you have completed your application but before going into the payment page.
When you have completed the application for the last extra person, go into the payment page where you make a single payment to cover everyone you have registered.
Each extra person you register will get their own e-mail confirming their registration.
You, as the person who made the payment for the registrations, will get confirmation e-mails, which relate to payment.
The team competition is for Non-Club Runners only.
It is for teams of four or more people, of which the fastest four count.
There is no extra charge for this, so if you know a few other people who are taking part, why not register as a team to make it more fun?
To register as a member of a team, simply enter your team name in the relevant box on the registration form.
NOTE. It is essential that all team members use the identical spelling of their team’s name in their registrations.
Club Runners are not entitled to be part of a team with friends who are Non-Club runners because UK Athletics rules require that they enter recognised events as a member of their club. If, as a Club Runner, you were to enter the run as a Non-Club Runner you would be in breach of the UK Athletics rules.
After submitting your payment for registration your request will be processed. This may take several moments. Once the transaction is completed, a screen will appear that notifies you that the registration was successful or that more information is needed.
If successful, this confirmation screen will include a link which you can click for more information about your registration and a Registration ID (confirming your registration and transaction).
You will also receive an e-mail confirmation soon after you submit your registration. If you do NOT receive the confirmation email, then it probably means you entered your email address incorrectly. If you cannot log back in to correct it, then please contact the organisers.
This e-mail has a link to a printable receipt – we recommend you keep a copy of this receipt for your records.
As soon as you are registered, your name will appear on the list of runners. To see this, click “Lists” then “Runners 2012” in the menu above.
If, after submitting your payment for registration, a screen appears that notifies you that the registration was successful but you do NOT receive the confirmation email, then it probably means you entered your email address incorrectly. If you cannot log back in to correct it, then please contact the organisers.
If your name is not on the list of runners and you have not had a confirmation e-mail, then your entry is incomplete. To see the list of runners, click “Lists” then “Runners 2012” in the menu above.
You will need to start the registration process again: do NOT click the already registered link on the second page. If the system has remembered you, you will get the option to use your existing profile on the second page, this will save you re-entering some details. Please complete the application, including payment.
An e-mail, which confirms registration, and others, are sent to the address entered in the individual’s registration form.
Any e-mail, which relates to payment, is sent to the address of the person, who made the payment.
The e-mails are automatically sent by our system and should be delivered barring any unforeseen technical problem.
If on-line registration has closed, then there is no other way to register.
The only chance is to substitute for someone who has already entered but who now cannot run, or you put your name on the waiting list.
The former is done by the original entrant returning to the entry system and using their personal password to change their entry details for yours. It’s up to you to make any financial transaction between yourselves. This substitution will only be possible until a few weeks before the event when the data will be locked and used for despatch of timing Chips, Race Numbers, etc.
The waiting list will enable us to contact potential runners if an existing entrant cancels. Anyone on the waiting list will be contacted by email and will have a short period to confirm an entry or we will offer the place to the next person on the list.
It would also help us immensely if you would put your details on the waiting list, firstly, so we can contact you as soon as the entries for the 2013 run open so you don’t miss out, and secondly, to assess the level of unmet demand so we can perhaps expand numbers appropriately for 2013.
Chapter 2. POST-REGISTRATION CHANGES
To make changes to your registration details,
- return to the entry page and click the “Register” button,
- on the second page click the “Already Registered” link,
- then log back in to system, using the e-mail address and the password, which you chose when you registered, and
- make the changes.
If you have forgotten the password, then use the “Forgot Your Password?” link and the system will send you a new one by e-mail.
You can change your postal address prior to us sending out the Race Packs. That will be a few weeks before the event. The cut off date, for making changes, will be advised via e-mail and advertised on this site nearer the run date. If your address changes after the cut off date, please make your own arrangements to have your post forwarded.
You can change your e-mail address at any time.
To change your postal address and/or your e-mail address, log back in to system (see log in to make changes above), and make the changes to your address(es).
If you have forgotten the e-mail address that you used when you registered, or you think you may have entered it incorrectly, in which case you will not have had a confirmation e-mail, then please contact the organisers.
If you have registered on your own as a Non-Club Runner, you can become part of a team, if you wish.
To register as a member of a team, log back in to system (see log in to make changes above), and make the changes to your team name
NOTE. It is essential that you spell the team name in exactly the same way as the others in your team did in their registrations.
If, since registering for the Run as a Non-Club Runner, you have joined a running club, then you can register again as a Club Runner, if you wish, and if places are still available.
If you register again, you will pay again, because registration fees are not refundable. However, you can transfer your Non-Club runner registration to someone else via the substitution process, but only until a few weeks before the event, after which substitutions will not be allowed.
You can transfer your registration to someone else, by logging back into the system (see log in to make changes above), and following the substitution process.
If, since registering for the Run, you have changed Running Clubs, then you can change your Club details.
To change your Club details, log back in to system (see log in to make changes above), and update your running Club details.
If you cannot run on the day, you CAN transfer your place in the Run (i.e. your registration) to either
- someone else of your choice, or
- someone else on the waiting list;
but you CANNOT simply give your Race Pack to someone else.
Registration fees are not refundable, even if the race is cancelled for any reason. If the race is cancelled, we will donate any surplus left (after relevant cost commitments have been paid) to various charitable causes.
To transfer your place in the Run to someone else of your choice, log back into the system (see log in to make changes above), and follow the official substitution process, which will be available up until a few weeks before the event. Then, give your Race Number and timing Chip to your substitute and, if you wish, obtain the race application fee from them.
To transfer your place in the Run to someone else on the waiting list, log back into the system (see log in to make changes above), and cancel your entry, which will then be offered to the next person on the waiting list.
If you did give your Race Number and timing Chip to someone else, without following the substitution process, then that person would NOT be covered by event insurance and would be personally liable if they were to cause an accident.
Further, if you are a Club Runner, and did give your Race Number to someone else without using the substitution process, then you would be in breach of UKA rules and could be banned from taking part in future recognised events.
Chapter 3. THE COURSE
The Run starts inside Warwick Castle, Warwick. The Run finishes inside Kenilworth Castle, Kenilworth.
Take a look at this map to see the route of the Run.
Kilometre markers will be displayed throughout the course. Markers, which show the distance to the finish, will be displayed in the last 600m of the course.
The majority of the course is over tarmac road surface.
It is a predominately flat course. There is an ascending incline as you leave Leek Wootton, which is the most significant hill on the course, followed by another, shallower incline as you approach Kenilworth.
The course will be traffic free. The roads along the route of the course will close to traffic at 8.50am. The roads will re-open to traffic, progressively, when it is safe to do so, as the field of runners passes over them.
Marshals will be stationed at all junctions and will indicate the route: you must obey their instructions.
There are three public car parks, which are 20 minutes from the Start, at Warwick Castle, which participants can use. There is minimal on-street parking near the Start.
Alternatively, participants can be dropped off at Warwick Castle’s Stratford Road car park.
Aim to arrive at the start by 8:45am at the latest. The Run will start at 9.00am. Access from Warwick Castle’s Stratford Road car park to the Castle grounds will be closed at 8.45am. If you arrive after 8.45am, you will not be permitted to join the Run.
Chapter 4. FACILITIES FOR PARTICIPANTS
Timing arrangements
Our results service is provided by FR System using timing chips, which automatically record your time when you cross the start and finish line. Fast and accurate results will be provided.
Your timing Chip and instructions on how to use it will be sent to you in a Race Pack.
It is essential that you keep your Chip in a safe place. If you lose or forget your Chip, it will NOT be replaced. Unless you wear your Chip as instructed you will NOT get a time or position in the Results list.
A Race Pack containing your Race Number, your timing Chip, entry tickets for Kenilworth Castle, and information about sponsors will be sent to you shortly before the Run. We will inform you, nearer the time of the Run, when the Race Packs will be despatched.
The Run starts at 9.00am.
If you arrive at Warwick Castle after 8.45am, when access to the Castle grounds from the Castle’s Stratford Road car park will be closed, you will NOT be permitted to join the Run.
The Run’s Finish line closes at 11.00am.
There are no showers or changing facilities available, you are advised to arrive ready to run. There will however be portable toilets at the Start and Finish.
Any kit, which a runner does not need whilst participating in the Run, will be taken in a plastic bag from the Start for them to collect at the Finish. Each runner is responsible for writing their Race Number on a label, which is provided, and attaching it to their bag for identification purposes.
The kit deposit point is within Warwick Castle. The kit deposit point opens at 7.00am on race day; and closes at 8.50am.
The kit collection point is within Kenilworth Castle.
There will be portable toilets at the Start and Finish, in addition to a limited number of public toilets at Warwick Castle and Kenilworth Castle.
Water Stations are at approximately 2 mile intervals along the race route, and at the finish. Water will be available at all Water Stations either in bottles or cups.
A medical back-up will be available throughout the course. Paramedics on bicycles and paramedics in cars will be in attendance, as will first aid teams provided by St John’s Ambulance.
It is essential that you write your name and address AND details of any relevant medical conditions on the back of your race number along with a note of who to contact in case of an emergency. It is advisable to give a telephone number.
You must ensure that you are medically fit to undertake this event and that you are adequately covered by your own insurance.
Chapter 5. AFTER THE RACE
There will be a communications system round the course and courtesy cars available with phone links to race HQ to take you to the finish area.
You will receive your race medal and T-shirt with a goody bag at the end of the race.
The collection point for bags of kit, which have been transported from the Start, is within Kenilworth Castle.
Coaches and buses will take runners back to the start line in Warwick. The coaches and buses will be parked outside Kenilworth Castle.
Chapter 6. FACILITIES FOR SPECTATORS
There are two public car parks and a Race car park, which are 10-15 minutes from the Finish, at Kenilworth Castle, which spectators can use. There is minimal on-street parking near the Finish.
There is a limit on the number of spectators inside the walls of Kenilworth Castle. Each runner will receive a ticket which entitles two spectators to enter Kenilworth Castle, free of charge, to watch the finish of the race. Entry is valid on race day up to 10.00am.
Castle Road is a good point at which to cheer runners as they approach Kenilworth Castle.
